We continuously strive to safeguard our potential employees’ privacy at Visma e-conomic (“e-conomic”). This Privacy Policy explains how and why e-conomic processes personal data about you as a potential employee during the recruitment process.
During the recruitment process, we process your personal data as a data controller, which we use for multiple purposes as described in this Policy.
What personal data do we process about you
As a potential employee at e-conomic, we process your personal data, which may include the following:
Contact information such as name, email address, phone number, and address
Application data such as CV, transcripts, education and work history, and achievements
Employment references
Information about your personality and competencies as derived from tests taken by you
Criminal record information if relevant to the specific position applied for
Residence and work permits
Other information you choose to submit including details about yourself in your application, a photograph of yourself, links to your social media
We may also process sensitive personal data about you, if you choose to submit this type of information, but please note that we will never ask for this information ourselves.
How do we collect your personal data?
In general, we collect personal data directly from you when you apply for a position with us. Depending on the stage of your application, we may ask for additional information.
We also collect information through third party sources, such as Facebook or LinkedIn, for instance if you choose to apply via one of those services.

What is the legal basis for the processing of your personal data?
We process your personal data based on multiple legal basis including

To assess your potential as an employee at e-conomic
To communicate with you in relation to the recruitment process
To analyze and improve the recruitment process
To ensure proper documentation in order to protect our business
To obtain reference information in connection with the recruitment. This will involve processing neutral information about your work tasks, position, and time of hire, as well as information related to your performance, competencies, and social skills.

e-conomic employees
Your personal data will be disclosed internally to those who have a work related need to do so in connection with the recruitment process. Only a limited number of employees will have access to your data, including the hiring manager and our recruitment team.
Data processors
e-conomic shares your data with third parties in order to perform activities on our behalf. For instance, we use a third party provider to provide us with a recruiting software system. The processing of your personal data in external systems is always based on a Data Processing Agreement between e-conomic and the data processor, where sufficient privacy measures are in place to ensure that your personal data is processed accordingly.
If data processors are located outside the EU/EEA, e-conomic ensures a legal basis for such international transfers on your behalf, hereunder by using the EU Model Clauses.
Public authorities
We may also transfer your personal data to the police or other authorities if they demand that personal information from e-conomic be handed over. In these cases, e-conomic will only hand over the information if there is, for instance, a court order ordering us to do so.
How long will the personal data be processed?
Personal data will be stored and processed by e-conomic for as long as deemed necessary with regards to the purposes stated above.
If you provide your consent for e-conomic to contact you about future employment opportunities, we will store your application data for as long as your consent is valid.

How do we secure your data?
Protecting your data is of great concern to us and we take data security very seriously. e-conomic has implemented appropriate technical and organizational controls to protect your data against loss, misuse, disclosure and destruction. These controls take into account the sensitivity of the data that we collect from you.
We make sure to limit the processing of your personal data to the extent necessary. In e-conomic, your data is only accessed by those in the organization who have a work-related need to do so and we ensure that all employees with access to data are continuously trained in protecting your data.
Rights of the Data Subject
The GDPR has implemented specific rights for individuals. These individual rights can be brought towards the data controller.
